How to Edit a User?

Written by Remy

From the Cockpit, you can update your users' information at any time, including their identity, interface language, and associated email addresses. This FAQ also explains how to change the primary email address for local users.

1. Access the User List

  1. Log in to your Manager account on the Mailinblack platform.

  2. In the left-hand menu, click Users.

  3. Select User List.

You will see an overview table displaying all your users and their main information.

2. Edit a User's Information

  1. From the user list, find the user you want to edit.

  2. Click the Edit button (pencil icon) on the right side of the user's row.

  3. The editing form will open. You can update the following fields:

    • First name

    • Last name

    • Interface language

  4. Once you have made your changes, click Save to confirm.

Please note: If your organization uses LDAP or Azure Active Directory synchronization, certain information (first name, last name, email address) is automatically managed by your directory and cannot be edited manually from the platform. Changes must be made directly in your company's directory.

3. Manage a User's Email Addresses

View Email Addresses

From the user list:

  • The primary email address is displayed directly below the user's name.

  • The Emails column shows the total number of email addresses associated with the user (primary address + aliases).

To view the details:

  1. Click Emails in the relevant user's row.

  2. The email address panel will open, displaying all email addresses associated with the account.

Add an Alias

  1. Open the user's email address panel.

  2. Click Add an Alias.

  3. Enter the email address you want to add (an automatic suggestion may appear based on your protected domains).

  4. Click Add to confirm.

Please note: Each user can have up to 10 aliases in addition to their primary email address. An alias can only be associated with one user at a time.

4. Change the Primary Email Address (Local Users Only)

What Is the Primary Email Address Used For?

The primary email address is used for:

  • Logging in to the platform

  • Receiving reports and welcome emails

  • Resetting the password

It is also displayed in:

  • The user list

  • Delegations

  • Authentication requests

It can be identified by the Primary Email label in the email address panel.

Why Is This Action Restricted to Local Users?

Only local users (those who are not synchronized with an LDAP or Azure AD directory) can have their primary email address changed manually from the platform.

For synchronized users (LDAP or Azure AD), the email address is managed by the company's directory. Any changes must be made directly in the directory and will then be automatically reflected on the platform during the next synchronization.

How to Identify Whether a User Is Local or Synchronized

On a user's profile, a tab indicates how the user is managed. It displays one of the following values:

  • Local: The user is managed manually from the platform.

  • Azure: The user is synchronized from an Azure Active Directory.

  • LDAP: The user is synchronized from an LDAP directory.

How to Change the Primary Email Address

⚠️ Warning: Changing the primary email address also changes the user's login identifier. Make sure the new address is valid and accessible to the user before making this change.

  1. Open the user's email address panel (see Section 3).

  2. In the list of addresses, find the email address you want to set as primary.

  3. Click the star icon ☆ next to that address.

  4. Confirm the change when the confirmation message appears.

The new address immediately becomes the user's primary email address.

Good to know: To set a new address as the primary email address, it must already be included in the user's list of email addresses. If it is not, you must first add it as an alias (see Section 3).
